Constitution and Guidelines
This organization, as well as its members, is to compete, to the best of its ability, against competing schools’ MIVA registered teams. This organization and members is to put forth its best efforts to be safe and encourage participation in the sport with others attending the University. Therefore this organization must respect and uphold the name and reputation of the University at all times. This organization must also uphold the rules and beliefs of the Midwest Intercollegiate Volleyball Association.
Non-Profit Statement
The members are to know and understand this is a non-profit organization. This organization is to be funded by the members. The solicitation of funds is expected and accepted, as long as they follow the guidelines within the Student Organization Manual. Donations are accepted as long as the donor is aware of the use of funds by this organization. This organization is not for the purpose of furthering the financial gain of an individual or group of individuals. This is to be clear to all officers and members of this organization.
Player Eligibility
Participating members must be students of
All members must complete a ‘Player Bio’ for use on the website.
All members must complete a ‘Player Schedule’ for use of the officers to be aware of your location and availability for contact.
All members must sign and understand the ‘Sports Club Membership Release Form.’ This form allows the organization insurance information as well as some personal information to protect the players and it.

All members are to sign and understand the ‘Player Contract.’ This contract states that the signing player is to follow this constitution, abide by the guidelines, rules and repercussions dictated by the team officials. They will also be required to compensate the organization with membership dues which cover court time, practice jerseys, travel and warm-ups. The player is also required to purchase a home and away game jerseys.
When and if ‘Spirit Apparel’ is made available players will be able to solicit products to receive half of their dues back. In order to due so the player must sell $600 net profit of apparel.
The contract also states that if any player is in violation of this contract, they give Campus Recreation and the Women’s Volleyball Team power to place holds on all academic accounts until the contract is fulfilled or the player and officers come to an agreement.
This form is provided by the team.
Members will abide by the rules within this Constitution and those stated in the University’s Student Organization Manual. If the members of this organization fail to follow the rules and guidelines stated above they will receive due process for their actions. The failure to obey the rules is grounds for disciplinary actions and the organization holds the rights of expulsion procedures if and when these actions occur.
Player and Officer Community Involvement
Each participating member (Players and Officers) will engage in fifteen (10) hours of community service within the academic year. If the community service is not organized by the organization, proper documentation will be required to be presented. Documentation must have name and phone number of the authorized supervisor in order to contact and confirm service.
Officer Responsibility and Election
There are five (5) elected officials involved with this organization that have individual responsibilities. The officers will be elected at the end of every season by the players and graduating officers. All officers will participate in decision making. No decision can be made without consultation of at least two (2) other officers. The following responsibilities are those of the preceding title listed.
- The President is involved with the oversight of the organization. She is to approve and agree with the organizations needs and wants. She is to schedule meeting dates at which times the members will gather and discuss issues.
- The Vice-President is responsible for the extra-curricular activities hosted by the team as well as organizing participation in other organization’s events.
- The Secretary is to record all information pertaining to the organization. She must attend all meetings and competitions.
- The Treasurer is responsible for recording and tracking all funds coming into and going out of the organization’s account. There must be two officer signatures on the checks for them to have any value.
- The Safety Officer is required to receive certification in safety and first aid.
Officers will conduct a weekly meeting where they will discuss all issues concerning the team. Issues will be current and prospective. If for any reason an officer misses a scheduled meeting their opinion in null and void until the next meeting unless it is discussed at an unscheduled time.
Managers Responsibility and Approvals
There will be four (4) managers involved with the team, which will earn the position through an interview with all officers present. Before any event is made, each manager must first present the plan of action to the officers. The managers can be ejected from their position by a four (4) of five (5) officer’s vote.
- Fund Raising Manager is responsible for organizing fund raising events throughout the year. She must follow the following guidelines stated in Promotions and Public Relations.
- Philanthropy Manager is responsible for planning and organizing all community service throughout the year. It is their responsibility to make sure everyone completes their mandatory fifteen (10) hours of community service. She must follow the following guidelines stated in Promotions and Public Relations.
- Social Manager is responsible for advertising team events, and recruiting players. This entails gathering prospects contact information, handing out fliers, hanging fliers, etc. She must follow the following guidelines stated in Promotions and Public Relations.
- Web Site Manager is responsible for updating and managing the website. Updates will be made after every home and away game. Updates include statistics, and any news presented by the officers.
Promotions and Public Relations
Any outsourced work, such as public relations, advertising or event planning must pass approval by three (3) of the four (5) officers. No promotional print may be dispersed without this approval.
Any promotional activities done within the organization is subject to approval by two (3) of the four (5) officers.
Rules and Repercussions of Violation
All participating members (Officers, Players and Managers) are subject to
Punishable Infractions:
- Missed Practice
- Alcohol and Drug
- Arrest
- Fighting During Game
- Off Court Altercations
- Public Misrepresentation
Consequences for Infractions:
- Missed Practice – Suspension from next game unless documented with valid excuse.
- Second Missed Practice – Suspension from next two games unless documented with valid excuse.
- Third Missed Practice – Suspension from next three games unless documented with valid excuse
- Consumption of alcohol 24 hours before game time – Suspension from that game.
- Consumption of illegal drugs or controlled substances – Expulsion from team without refund of player dues.
- Arrest:
- Misdemeanor with no jail time – Punishment to be determined by coach and team official
- Misdemeanor with jail time –Punishment to be determined by coach and team official
- Felony – Expulsion from team without refund of player dues.
- On Court Fighting – Suspension from next game.
- Off Court Altercations – Officers will discuss reported altercation and dictate consequences after deliberations. Action will be taken on a case by case situation and have the right to not uphold previous standings.
- Public Misrepresentation – If any member is found to be misrepresenting the team in any manner they will be dealt with accordingly. Misrepresentation is encompassed by, but not limited to: Public Intoxication, Public Indecency, or any activity that brings unwanted attention to the organization and presents it in a bad light.
Valid excuses are: Doctor’s appointment, work, death in the family, scheduled exam and class. If a member misses for another reason they must present it to the officers in writing the next day via email or hand delivery to validate the excuse.
Scheduling
All games will be scheduled by the organization. There will be no more than two (2) games scheduled per weekend barring tournament play. The schedule will spread out the amount of home and away games evenly across both fall and spring semester.
